Vend88 supports various punch card programs that allow members or customers to redeem products, services, or other benefits based on the number of remaining visits or uses.

Main Information

Punch Cards consist of the following two main components:

  • Punch Card Plans
  • Punch Cards

Punch Card Plans

Punch Card plans are used to centrally configure and manage punch cards. Every punch card must belong to a punch card plan.

A punch card plan contains the following settings:

  • Plan Name: The name of the punch card plan.
  • Description: A detailed description of the punch card plan.
  • Punch Card Type: Sets the type of the punch card plan. You can select either a Percentage Discount Punch Card, a Fixed-Amount Discount Punch Card or a Non-Discount Punch Card.
  • Status: Sets the current status of the punch card plan. Available statuses include Draft, Active, Paused, and Ended. Punch Cards can only be issued under a punch card plan with an Active status.
  • Validity Rule: Sets the default validity period for newly issued punch cards under the plan. You can select one of the following three validity rules:
    • Fixed Date: All newly issued punch cards under the plan expire on a specified date and time.
      • For example: Set the expiry date and time to 31/12/2025 23:59.
    • Fixed Period: Each newly issued punch card expires after a specified period calculated from its issue date.
      • For example: Set each punch card to expire one year after its issue date.
    • Set Individually When Issued: The validity period of each punch card is set individually when the punch card is issued.
  • Usage Count: The usage count for each punch card under this plan.
  • Discount Value:
    • If the punch card type is a Percentage Discount Punch Card: Sets the percentage discount that the punch card applies to an order.
      • For example: A value of 90% means that the customer pays 90% of the original price.
    • If the punch card type is a Fixed-Amount Discount Punch Card: Sets the amount that the punch card deducts from an order.
      • For example: A value of $5 means that $5 will be deducted from an eligible order.
    • If the punch card type is a Non-Discount Punch Card: Do not set this option.
  • Advanced Options:
    • Minimum Spend: Sets the minimum order amount required to use the punch card. The punch card can only be used when the order meets this requirement.
    • Maximum Discount: Sets the maximum discount amount that can be provided by a single punch card.
      • For example: If the maximum discount is set to $50, applying a 50% discount punch card to a $200 order will deduct no more than $50, rather than $100.
    • Issue Limit: Sets the maximum number of punch cards that can be issued under the punch card plan. Once this limit has been reached, no additional punch cards can be issued under the plan.
    • Limit per Member: Sets the maximum number of punch cards under the plan that each member may receive or hold.
    • Applicable Products: Sets the products to which the punch card can be applied. When the punch card is used, only the selected products are included when determining whether the punch card conditions have been met, and only those products are eligible for the discount.
    • Excluded Products: Sets the products to which the punch card cannot be applied. When the punch card is used, the selected products are not included when determining whether the punch card conditions have been met and are not eligible for the discount.

Punch Cards

A punch card is an individual discount voucher issued under a punch card plan.

Each punch card contains the following information:

  • Punch Card Plan: The punch card plan to which the punch card belongs.
  • Holder: The member who holds the punch card. If no holder is specified, the punch card may be used by any customer. This is commonly used for printed paper punch cards.
  • Expiry Date: The date and time at which the punch card expires. The expiry date is determined when the punch card is issued.
  • Remaining Uses: The number of uses remaining on this punch card. If it reaches 0, the punch card can no longer be used.
  • Status: The current status of the punch card. Available statuses include:
    • Valid: The punch card is currently valid and can be used normally.
    • Used: The punch card has already been redeemed and cannot be used again.
    • Expired: The punch card has passed its expiry date and can no longer be used.

How to Use

Using an Electronic Punch Card Held by a Member (Percentage / Fixed-Amount Discount Punch Card)

  1. On the checkout screen, first select the member who holds the punch card.
  2. Click the “Coupons” button at the bottom of the page.
  3. On the coupons / punch cards selection screen, select an available punch card.
  4. Complete the checkout process.

After completing the steps above, the discount will be applied to the order, and one use of the punch card will be automatically redeemed.

Using a Punch Card Code, QR Code, or Paper Punch Card That Is Not Linked to a Member (Percentage / Fixed-Amount Discount Punch Card)

  1. On the checkout screen, click the “Coupons” button at the bottom of the page.
  2. On the coupons / punch card sselection screen, click the “Add Global Coupon” button in the upper-right corner.
  3. Scan the QR code on the punch card or manually enter the punch card code.
  4. If the punch card meets the usage requirements, select the punch card.
  5. Complete the checkout process.

After completing the steps above, the discount will be applied to the order, and one use of the punch card will be automatically redeemed.

Using an Electronic Punch Card Held by a Member (Non-Discount Punch Cards Only)

  1. Click the Members button in the left sidebar.
  2. On the Members page, select the member whose punch card you want to redeem.
  3. Locate the “Coupons” section.
  4. In the expanded list of coupons and punch cards, select the punch card you want to redeem.
  5. Click the "Use Punch Card" button.

Once these steps are completed, one use will be deducted from the selected punch card.

Note: Punch cards with associated discounts (either Percentage or Fixed-Amount discounts) cannot be redeemed using this method. Currently, Non-Discount Punch Card must be linked to a member before they can be used.

Frequently Asked Questions

Why Can't a Punch Card Be Used?

Reason 1: The punch card has expired, has no remaining uses, or has been voided

The punch card may have passed its specified expiry date, all of its available uses may have been exhausted, or may have been voided. It therefore cannot be used again.

  • Solution: Ask the customer to use another punch card that is currently valid and has not yet been redeemed.

Reason 2: The order does not meet the punch card plan's usage requirements

The current order does not meet the usage requirements configured in the punch card plan. For example, the total value of eligible products may not meet the minimum spending requirement.

  • Solution: Ask the customer to add more eligible products to the order so that it meets the punch card's usage requirements.

Reason 3: The member has reached the usage limit for punch cards under this punch card plan

The number of punch cards under this punch card plan that the member currently holds or has already used has reached the permitted limit, but the member is attempting to use another unassigned punch card under the same punch card plan.

  • Solution: Ask the customer to use a valid punch card issued under a different punch card plan.
