Vend88 provides a comprehensive Membership Card system, allowing you to create different membership card plans and benefits to deliver tiered membership management and services.

Overview

Membership Cards consist of the following core components:

Membership Card Plans

A Membership Card Plan is used to configure and manage membership cards. Every membership card must belong to a Membership Card Plan.

A Membership Card Plan includes the following settings:

  • Plan Name: The name of the membership card plan.
  • Description: A detailed description of the membership card plan.
  • Card Design: The visual design of the membership card. This design is also used for the digital membership card in Apple Wallet and Google Wallet.
  • Enabled: Determines whether the membership card plan is available for use.
  • Points Multiplier: The points multiplier applied when members holding this plan earn points. The default value is . Points earned are calculated by multiplying the base points by this multiplier.
  • Tiers: A membership card plan can contain multiple tiers, with each tier offering different membership benefits or discounts.
  • Upgrade Rules: Defines how members are promoted to higher tiers. The following upgrade methods are available:
    • Upgrade by Accumulated Points: Members are upgraded once their accumulated points reach the specified threshold.
    • Upgrade by Single Top-up Amount: Members are upgraded when a single top-up reaches the specified amount.
    • Upgrade by Accumulated Top-up Amount: Members are upgraded once their accumulated top-up amount reaches the specified threshold.
  • Default Validity Period: Defines the default validity period for newly issued membership cards under this plan. The validity period starts from the issue date and can be configured as either a fixed expiration date or a fixed duration. By default, membership cards are valid for one year from the date of issue.

Membership Cards

A Membership Card is the individual card issued to a member under a Membership Card Plan. It records the member's tier, validity period, status, and other related information.

A Membership Card includes the following settings:

  • Plan: The Membership Card Plan to which the card belongs.
  • Cardholder: The member who owns the membership card.
  • Expiry Date: The expiration date of the membership card.
  • Status: The current status of the membership card. Available statuses include:
    • Active: The membership card is valid and can be used normally.
    • Expired: The membership card has passed its expiry date and can no longer be used.
    • Inactive: The membership card has been disabled or voided and cannot be used.
  • Tier: The member's current tier within the Membership Card Plan. Different tiers may provide different membership benefits and discounts.

Issuing Membership Cards

To issue a membership card, follow the steps below in VendPOS.

Issue a Card to a New Member

  1. Click the Members button in the left sidebar.
  2. Select the member who will receive the membership card.
  3. On the member details page, locate the MEMBERSHIP CARD PLAN section. If the member does not have a membership card, the message This member does not currently have an active plan. will be displayed. Click ASSIGN NEW PLAN.
  4. Select a Membership Card Plan. If multiple plans are available, swipe up or down on the card preview on the left to browse different plans.
  5. Click Confirm in the lower-right corner.

The membership card will then be successfully issued to the member.

Add a Membership Card to a Member's Phone

  1. Click the “Members” button in the left sidebar.
  2. On the Members page, select the member you want to add a digital membership card for.
  3. On the member details page, scroll to the bottom. Depending on the member's device, click either the “Apple Wallet” or “Google Wallet” button.
  4. A QR code for adding the membership card will be displayed. The member can scan the QR code with their phone to add the membership card to the corresponding wallet application.
    To make scanning more convenient, click “Show on Customer Screen” to display the QR code on the customer-facing screen.
  5. Alternatively, you can send the membership card link to the member via SMS or email by clicking "Send via SMS" or "Send via Email". The member can then add the membership card by opening the link in the SMS or email.
    Notice: Email may appear in the junk folder. Please check the junk folder if the email is not received.

After completing the above steps, the membership card will be successfully added to the member's Apple Wallet or Google Wallet.

Switch a Member to a Different Card Plan

  1. Click the Members button in the left sidebar.
  2. Select the member whose membership card plan you want to change.
  3. On the member details page, locate the Membership Card Plan section and click Change Plan.
  4. Swipe up or down on the card preview on the left to select a different Membership Card Plan.
  5. Click Confirm in the lower-right corner.

After the change is confirmed, a new membership card under the selected plan will be issued. The previous membership card will be retained, and its status will be changed to Inactive.

Using Membership Cards

When checking out, members can present their membership card to receive the applicable membership benefits (such as discounts) and earn points according to the rules of their membership card.

Member information can be added to an order in the following ways:

  1. Scan the Digital Membership Card
    The member presents their digital membership card stored in Apple Wallet or Google Wallet. After the staff scans the QR code on the card, the member will automatically be linked to the current order.
  2. Search for the Member Manually
    The member provides their name, phone number, or Member ID, and the staff manually searches for and selects the member in VendPOS.

Frequently Asked Questions

Why can't a customer's membership card be used?

Reason 1: The membership card has expired.

Once a membership card reaches its expiry date, it becomes invalid and can no longer be used.

  • Solution: Extend the validity period of the membership card or issue another membership card that is still active.

Reason 2: The member has changed to a different membership card plan, but the digital membership card has not been updated.

After a member switches to a new Membership Card Plan, the card stored in Apple Wallet or Google Wallet may still belong to the previous plan and therefore cannot be used.

  • Solution: Ask the member to remove the old digital membership card from Apple Wallet or Google Wallet. Then display the membership card QR code in VendPOS and have the member scan it again to add the latest membership card to their wallet.
